The Challenge

The client is one of Bulgaria's most recognized manufacturers of pergolas, winter gardens, and outdoor living structures. As the company grew from a regional workshop into a national brand with dealer networks across the country, their operational infrastructure failed to keep pace. Orders were tracked in Excel. Production schedules lived in a foreman's head. Client communications were scattered across email, Viber, and handwritten notes. Quotes took hours to assemble because pricing depended on dozens of configuration variables -- material type, dimensions, color, motorization, glass thickness, and installation complexity.

The result was predictable: missed deadlines, pricing errors, duplicated work, and a sales team that spent more time on administration than selling. The client needed a single system to unify their entire operation -- from the first client inquiry to final installation sign-off.

The Solution

We designed and built a comprehensive 17-module ERP system tailored specifically to the pergola manufacturing workflow. Rather than forcing the company into a generic ERP template, we mapped every department's processes and built modules that mirror how the client actually works.

The system is structured around a central order lifecycle. When a new inquiry arrives -- whether from the website, a phone call, or a dealer -- it enters the CRM module and flows through quoting, approval, production planning, manufacturing, quality control, delivery, and installation. Every stage has clear ownership, automated notifications, and real-time visibility for management.

Key Features

  • Configurator-driven quoting -- Sales staff select pergola type, dimensions, materials, and options from a guided interface. The system calculates pricing automatically based on pre-configured formulas, eliminating manual errors and reducing quote generation from hours to minutes.

  • Production planning board -- A visual Kanban-style interface shows every active order's production status. Workshop managers drag orders between stages (cutting, welding, painting, assembly) and the system tracks time spent at each station.

  • Dealer portal -- External dealers log in to submit orders, track status, and download invoices without calling the office. This alone freed up two full-time staff members from phone duty.

  • Inventory and procurement -- Raw material stock levels update automatically as production orders consume materials. When aluminum profiles or glass panels drop below reorder thresholds, the system generates purchase requests.

  • Installation scheduling -- A calendar module assigns installation crews to jobs based on location, crew availability, and required equipment. Route optimization reduces windshield time between sites.

  • Document generation -- Contracts, invoices, delivery notes, and warranty certificates are generated as branded PDFs directly from order data. No more copying numbers between systems.

  • Financial dashboard -- Real-time revenue, cost, and margin visibility broken down by product line, dealer, and time period. Management can spot trends without waiting for month-end reports.

Results

The ERP system transformed the client's operations within the first three months of deployment. Order processing time dropped by 60% as the configurator eliminated manual calculations. The dealer portal reduced inbound support calls by over 70%. Production throughput increased because workshop managers could identify and resolve bottlenecks in real time rather than discovering them after the fact.

Most significantly, the system gave the company's leadership clear financial visibility for the first time. They could see exactly which product lines were most profitable, which dealers generated the highest margins, and where operational costs were concentrated -- enabling data-driven decisions about pricing, inventory, and expansion.
