Transport ERP System
A logistics ERP system for fleet management, route optimization, and revenue tracking across a national transport operation.
Client: Logistics and Transport Company
The Challenge
The client operates a national transport and logistics fleet across Bulgaria. With dozens of vehicles on the road daily, the company faced a growing disconnect between operations and financial visibility. Dispatch was coordinated through phone calls and a shared spreadsheet that was perpetually out of date. Drivers submitted paper waybills that were processed days after delivery. Revenue reconciliation -- matching completed deliveries to client invoices -- was a manual process that consumed the finance team's entire week every month.
The company had no real-time view of fleet location, vehicle utilization, or per-route profitability. Decisions about which contracts to pursue, which routes to optimize, and when to expand the fleet were made on instinct rather than data.
The Solution
We built a logistics ERP that connects dispatching, fleet tracking, delivery management, and financial reporting in a single platform. The system is designed around the delivery lifecycle: from order intake through route assignment, in-transit tracking, proof of delivery, and invoicing.
The front-end uses React with Leaflet for interactive map visualizations. The Node.js backend processes real-time location data, route calculations, and financial transactions. PostgreSQL handles the relational complexity of multi-stop routes, vehicle assignments, and client billing structures.
Key Features
-
Live fleet dashboard -- An interactive map shows every vehicle's current position, status (loaded, empty, in maintenance), and next scheduled stop. Dispatchers can make real-time decisions about rerouting or reassignment.
-
Route planning and optimization -- Dispatchers create multi-stop routes by selecting orders and assigning them to vehicles. The system suggests optimal stop sequences to minimize distance and fuel consumption.
-
Digital waybill system -- Drivers confirm pickups and deliveries through a mobile interface, capturing timestamps, photos, and digital signatures. This replaces paper waybills and provides instant proof of delivery to both dispatch and clients.
-
Vehicle management module -- Every vehicle has a digital record tracking maintenance schedules, insurance expiry, registration renewal, fuel consumption, and total kilometers. The system alerts fleet managers to upcoming maintenance windows and compliance deadlines.
-
Revenue and cost tracking -- Each delivery automatically generates a financial record linking the transport cost (fuel, driver time, tolls) to the client billing amount. Management can see per-route, per-vehicle, and per-client profitability in real time.
-
Client billing automation -- The system generates invoices based on completed deliveries, applying client-specific rate cards (per kilometer, per ton, flat rate, or hybrid). Month-end billing that previously took three days now runs in minutes.
-
Driver performance analytics -- Metrics on delivery times, fuel efficiency, and route adherence help identify training needs and reward top performers.
Results
Fleet utilization improved by 28% within the first quarter as the dispatch dashboard eliminated empty-run guesswork and enabled smarter vehicle assignment. Revenue tracking accuracy reached 99.5% -- up from an estimated 92% under the manual system -- closing a significant revenue leakage gap.
Administrative overhead dropped by 50% as automated invoicing, digital waybills, and real-time data eliminated most of the manual reconciliation work. Perhaps most importantly, the client gained the financial visibility to make confident decisions about fleet expansion, contract pricing, and route profitability -- transforming transport from a cost center they managed into a business they could actively optimize.
